ACCOUNTING DEPT.: Accounts Payable Coordinator

Full Time Position – Responsible for ensuring that all payables are paid on time and accurately. Maintains working relationships with vendors, and all HSVPOA staff, and compiles and maintains AP records. H.S. diploma or equivalent and at least 2 years’of related accounting experience and/or training; or equivalent combination of education and experience. Must have computer entry experience. SUMMARY   Responsible for ensuring that all payables are paid on time and accurately.  Maintains working relationships with vendors, and all HSV POA staff.  Compiles and maintains accounts payable records by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

 

  1. Checks all payment authorizations for approval and accuracy and inputs proper information into the computer system using established procedures.
  2. Matches invoices and receiving records to make sure they agree or notes exceptions.
  3. Writes up and approves payment authorizations for utilities and other recurring bills as allowed by established policies.
  4. Audits and reconciles monthly statements from vendors.
  5. Answers all vendor inquiries and maintains all vendor files including maintenance of current W-9s.
  6. Prepares accounts payable runs for processing of checks weekly.
  7. Prints all accounts payable reports and maintains all accounts payable files.
  8. Problem solves and works with vendors and POA staff to resolve invoice disputes or past due account balances.
  9. Prepares analysis of accounts, as required. Responsible for monthly reconciliation of Accounts Payables liability accounts.
  10. Send new vendor information packets.
  11. Calculates, prepares and distributes FORM 1099s to all required vendors.
  12. Any other duties as assigned.
  13. Regular attendance is required.

EDUCATION and/or EXPERIENCE   High School diploma or general education degree (GED); at least one year related accounting experience and/or training; or equivalent combination of education and experience.  Must have computer entry experience.

LANGUAGE SKILLS  Ability to read and interpret documents such as invoices, packing slips, shipping and receiving documents, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively.

MATHEMATICAL SKILLS  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra.

REASONING ABILITY  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
